Meals on Wheels Queensland supports a statewide network of 99 member services operating across 140 locations. Together, over 6,500 volunteers help deliver 3 million meals each year to over 23,000 Queenslanders, providing not just nutrition, but connection, safety and wellbeing.
Our volunteers are the heart of everything we do. From delivery drivers and kitchen assistants to client support and administration, every role plays a vital part in helping older Queenslanders live independently and feel connected to their community.
As our network has grown, so too has the need for a consistent, supportive and streamlined volunteer experience across the state.
The Opportunity: Creating a Consistent Volunteer Experience
With 99 member services operating across diverse communities, onboarding processes have evolved differently across locations over time. While each service brings deep local knowledge and community connection, this variation meant volunteer onboarding, compliance tracking and training processes were not always consistent statewide.
We saw an opportunity to:

Most importantly, we wanted to give our service coordinators and volunteer leaders more time to focus on what matters most, supporting volunteers and caring for clients.
Our Approach: Implementing Rosterfy
To support this evolution, Meals on Wheels Queensland implemented Rosterfy as our central volunteer management platform.

By introducing customised onboarding pathways, we ensured volunteers complete only the training relevant to their role, creating a smoother, more engaging start to their volunteering journey.

A key priority for us was ensuring the platform would be intuitive and practical for our local services.
Volunteer team leaders across Queensland are responsible for onboarding and managing volunteers on the ground. The introduction of automation has significantly reduced the manual workload previously required to track paperwork, training and compliance steps.
